Position Description

Annual Giving
Position title:
Assistant Director of Annual Giving
Reports to: Director of Alumni & Parent
Relations & Annual Giving
General: Primarily responsible for creating
and implementing strategies and plans for annual giving, with an
emphasis on the Phonathon and direct mail. Identifies and develops
individualized solicitation strategies by making personal cultivation
and solicitation calls. This position requires nights and weekend work
for up to 26 weeks a year.
Responsibilities and essential functions:
- Creates and implements strategies, and plans for annual giving,
with an emphasis on the Phonathon and direct mail. Assists in the
development of each year’s annual giving plan.
- Executes and manages the student-based Phonathon including the
recruitment and management of Phonathon staff, and oversees the
budget allocated to the function. Develops reports to show fund
raising progress and calling results. Phonathon work requires
evening and weekend work for extended periods of time (20 – 26 weeks
per year).
- Develops and executes direct mail solicitation efforts including
the mailing of packages, budgets and reports to track results.
Develops and requests reports from PowerCAMPUS to support the
department’s fund raising efforts and programs.
- Facilitates personal solicitations with reunion volunteers and
alumni in their reunion year. Makes 10-20 personal visits per year
to prospects in reunion years, either with the director or alone.
- Creates and manages an overall class agent program including;
participates in recruiting class agents in soliciting gifts and
information from their peers in honor of their class year. Support
and motivate and provide statistical progress reports to class
volunteers on fund raising objectives.
- Develops and manages volunteer recruitment, to include:
Appointment of Reunion Chairs. Coordinates the recruitment of class
committee members to encourage participation in Reunion Weekend and
The Fund for Saint Martin's. Facilitates and collaborates with other
Advancement team members in the class project campaign for reunion.
Manages the development and implementation of a reunion giving
program, which includes working with volunteers, monitoring
solicitation progress and results, and developing needed support
materials. In conjunction with the overall communication’s plan,
creates solicitation material (letters, brochures, scripts, etc.)
for volunteer solicitations.
- Works with Development staff to identify volunteers and alumni
who have potential for increased gifts and offering Challenge Gifts
and to solicit reunion year prospects. Coordinates with Alumni
Relations in volunteer selection, direct mail scheduling, and other
aspects of reunion planning as necessary. Establishes dollar and
participation goals for each class and produces effective direct
mail pieces to solicit reunion gifts from Alumni. Utilize reports
and research to improve reunion solicitation techniques.
- With staff in the Office of Institutional Advancement,
coordinates the acknowledgement of annual giving donors including
the annual donor report, gift receipts, etc.
- Ensures that appropriate gift and volunteer activities are
properly entered into PowerCAMPUS.
- Assist the Alumni and Parent Relations effort by helping at
events and meetings.
- As a staff member and representative of the university, at all
times maintains good and proper personal appearance and a high level
of professional conduct.
Knowledge, skills and abilities:
- Strong oral communication with constituents and the public in a
variety of settings, including face to face and telephone.
- Ability to effectively produce written communication that is
clear, concise and correct.
- Effective and professional management of staff and volunteers.
- Effective and organized budget and office management.
- Knowledge of databases and other software (e.g. Word, Excel,
PowerPoint, Publisher and Adobe). Knowledge of PowerCampus database
a plus.
- Able to work in a stressful [high-paced] environment and
effectively manage multiple projects simultaneously.
- Able to work effectively and collaboratively with co-workers,
colleagues across the university, alumni and other volunteers.
- Able to travel sometimes on short notice. Able to work nights
and weekend.

- Moves objects (less than 30 pounds) long distances (more than 20
feet).
- Ability to be mobile campus wide for appropriate business needs.
- Operates a variety of standard office equipment requiring
continuous or repetitive arm-hand movements.
Qualifications: Bachelor's Degree preferred.
Experience in fundraising and development field a plus. Must be able to
work nights (3 times a week) and weekends (twice a month) for up to 26
weeks per year. Must be supportive of a Catholic, Benedictine philosophy
of education
